HomeMy WebLinkAbout10-18-2023MINUTES OF MEETING APR 12 2024 OF THE BOARD OF DIRECTORS OF FOREST HILLS VILLAGE, INC., CITY CLERK HELD OCTOBER 18, 2023 Pursuant to written notice to each of the directors, the monthly meeting of the Board of Directors of Forest Hills Village, Inc., was held at 7:30 a.m. on October 18, 2023 at Little Castle Restaurant. The following directors were present: Brad Arterburn, Shirley Walker, Melissa Yates, and Paul King. Also present were Lori Knight, James Burgett, and David Denton THE FOLLOWING BUSINESS WAS TRANSACTED: ITEM I: Upon motion made by Ms. Walker, seconded by Ms. Yates, the minutes of the meetings of August 16, 2023 were approved as written. ITEM II: The operating report for September 2023 was reviewed with no changes. Discussion matters included (a) current P&L trends; (b) existing rental rates; and (c) community demand for rental housing. ITEM III: The staff report was as follows: a. Forest Hills received 9 applications for rental units in September 2023, with 7 being approved, 1 being rejected, and 1 with no response. b. Forest Hills has 123 active applicants on the waiting list as of September. The breakdown of applicants is as follows: apartments -24, two-bedroom small -36, two-bedroom large -5, 3 -bedroom small -23, 3 -bedroom large -35. C. The occupancy rate for September 2023 was 97.60%. ITEM IV: Mr. Burgett presented the maintenance report. Maintenance performed in September 2023 consisted of 2 houses and I apartment. Also, 3 water heaters, 2 floor replacements, and 115 maintenance requests for tenants were all completed. ITEM V: Ms. Knight brought two (2) rental policy changes to the attention of the directors. a. The "Transfer List" has been placed on indefinite hold. Ms. Knight explained reasons for the action. Basically, it is a matter of numbers. The growing number of names on the transfer list and lack of rental units have made the list system unworkable. After questions, no director voiced opposition. b. Effective immediately all new tenants must purchase and install their own refrigerator and stove. The items belong to the tenant but must be properly installed according Forest Hills Village specifications. Upon vacating a unit, the tenant must simultaneously remove the items. Any items not promptly removed shall be deemed to be abandoned and disposed of by Forest Hills Village. Tenants are totally responsible for all maintenance and repairs of the units. Maintenance costs and operating efficiencies were discussed in detail. The directors agreed with the change. ITEM VI: The next meeting will be December 20, 2023.
