Minutes Monthly Board Meeting Tuesday, May 28, 2024, at 8:00am Present Board Members- David Troutman, Vicki Brantley, Maggie Moore, Cindy Mangrum, Carol Young, Robert Hernandez, Simone Fearon, Robert Hernandez. Staff Present- Sarah Walker, Executive Director. Robin Ross, Assistant Director. Absent Board Members- Dan Frazier, Lydia May, Karami Underwood, Jackie Carruthers. Call to Order: David Troutman called the meeting to order at 8:03 am. Minutes from Last Month: Carol Young made a motion to approve the March minutes. Cindy Mangrum second. The motion passed. Committee Reports: Finance Committee: Vicki Brantley presented financial reports. Vicki detailed the current allocations and her communication with the accountants. It’s looking better but getting everything correctly labeled and organized is challenging. Made to Stay has not been properly labeled at this time. Vicki has struggled to get a response from the accountants regarding the issue. The hope is that Robin can be more involved to make the processes easier. The office needs new computers as Robin will need to be able to have faster access as time goes on. Nominating Committee: Carol Young made a motion to approve the slate of officers for 2024. Simone Fearon second. The motion passed. This was Vicki’s second to last meeting. Congrats on 6 years of leadership and service! Robert, Sarah and David met with a man that Mayor Bray has recommended multiple times. Cindy Mangrum made a Motion to appoint Herb Gregory to the Senior Center Board. Carol Young second. The motion passed. Personnel Committee: The elevator is still not working well. This is a major safety issue. It’s unpredictable and dangerous. There haven’t been any issues in a week but the staff are not hopeful. Bylaws and Policies Committee: The updated policy handbook will be emailed out to all board members so they can have a copy. Director’s Report: See attachment presented by Sarah Walker. While Kim, the kitchen manager, was on vacation, the assistant kitchen manager and Sarah ordered the ingredients needed to do homemade dishes. When Kim returned, this was a problem for her. She decided to walk out on the job. However, it hasn’t been an issue. Donations have increased and the quality of the food has gone up. The assistant kitchen manager has taken over Kim’s role and is doing a great job. Thank you, Sarah, for your leadership during this transition. Sarah and Robin have been cleaning up the Meals on Wheels program. They are finally able to review people on the waiting list and serve those who truly qualify for the service. Assistant Director’s Report: Robin is back overseeing the Meals on Wheels drivers. Thank you, Robin. Old Business Building Update: There was a very productive meeting with the County. They were positive and want to support the building project for the Senior Center. Cindy Mangrum made a motion to approve the building plan. John Durbin second. The Motion passed. New Business Made to Stay will be supported by PADD. Beginning July 1, Made to Stay will be able to be reimbursed for services. E-Homes vehicle request: Teresa came to the board requesting a new vehicle to replace the van for the E-Homes program. She’s found good options for both E-Homes and the kitchen in a dealership in Cape that she wants to buy. She’s able to trade in both vans. She and Sarah are going to test drive them and schedule an inspection with a garage on Thursday. John made a Motion to authorize the purchase of the two vehicles using the Eckstein grant money, Carol Young second. The Motion passed. David complimented and thanked Teresa for her work on the United Way presentation last week as well. Project Dash-Meals: DoorDash has a giving program where they staff Meals on Wheels drivers and donate gift cards. Sarah is looking into this as they would like to be able to serve this area. Comments and Announcements None at this time. Adjournment Cindy Mangrum made a motion to adjourn at 9:25 am, Vicki Brantley second. The motion passed. The next board meeting date is June 25, 2024 at 8:00am.
